Job Summary
We are seeking a highly skilled and detail-oriented an Operation Manager to join a small but dynamic multi-family office in Geneva. This role is a blend of private banking and operational responsibilities, ensuring seamless service delivery to their high-net-worth clients. The ideal candidate must be fluent in at least two of the three main languages of Switzerland (French, German, or Italian) and demonstrate exceptional organizational and interpersonal skills.

Key Responsibilities
1. Private Banking Tasks
  • Act as a primary contact for clients, ensuring their requests are handled efficiently and professionally.
  • Support the preparation of financial plans, investment proposals, and performance reports.
  • Assist in managing client accounts, including account openings/closures, wire transfers, and banking transactions.
  • Handle the onboarding of new clients while ensuring compliance with KYC and AML requirements.
  • Coordinate with external banks and financial institutions to facilitate transactions and manage client portfolios.
  • Monitor investment accounts and provide updates to wealth managers on performance and required actions.
2. Operational and Administrative Support
  • Maintain accurate and up-to-date client records, ensuring confidentiality and compliance.
  • Process invoices, reconciliations, and payments for client and office accounts.
  • Assist in preparing documentation for regulatory reporting and internal compliance purposes.
  • Organize and coordinate client meetings, prepare agendas, and document action items.
  • Oversee daily office operations, including vendor management and general administrative tasks.
3. Wealth Planning and Investment Support
  • Assist in researching financial products, market trends, and investment opportunities.
  • Prepare investment presentations, reports, and summaries for client reviews.
  • Collaborate with tax advisors, accountants, and legal professionals to ensure integrated financial planning.
  • Track and manage deadlines for tax filings, estate planning documents, and other key deliverables.
4. Compliance and Risk Management
  • Ensure compliance with Swiss financial regulations, including AML, KYC, FATCA, and CRS standards.
  • Support internal audits and monitor workflows for operational efficiency and risk mitigation.
  • Stay informed about updates in regulatory frameworks and internal compliance policies.

Qualifications and Skills
Mandatory:
  • Fluency in at least two of the three main Swiss languages (French, German, or Italian); proficiency in English is required.
  • Bachelor’s degree in Finance, Economics, Business Administration, or a related field.
  • 3+ years of experience in private banking, wealth management, or financial services.
  • Strong understanding of financial instruments, banking operations, and investment products.
  • High proficiency in Microsoft Office Suite and familiarity with financial or CRM software.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple priorities.
  • Strong communication and interpersonal skills, with a client-centric mindset.
  • Knowledge of Swiss and international compliance standards, including KYC/AML regulations.
Preferred:
  • Experience in a multi-family office or boutique wealth management environment.
  • Relevant certifications such as CFA Level 1, CFP, or CISI.
  • Familiarity with financial reporting tools or portfolio management systems.
